"Blue text are options that are not included in proposal total". I'm not seeing what parts are optional (aka it's all black text for me) - would be nice to see what parts are "optional" so the experts who are more savvy than myself can weigh in.

A few things - this is obviously a LARGE job - the PB will make a decent cut overseeing a project of this size. That being said, if you're looking to see where you can save some $ - I would research the equipment listed in this bid and ask the PB to price match. They surely have enough markup in other areas to at least give you a good deal on the hard materials. Examples:

That gives us a running total of $4,016 to which they are quoting $5,850. That is a 46% markup, which I believe to be far too much (especially when considering this is what the general public can buy these items for, SHIPPED - not even what they get the equipment for with their better pricing from the manufacturer).

They list the LED color light upgrade at $350/light for a $700 total. I think the LED color lights are well worth the upgrade over the white LED - however, not at $700! You can buy both Colorlogic LED lights (1 pool, 1 spa) for $885 total - which is obviously far less then a "$700 UPGRADE over the already overpriced white LED lights".

2. I noticed the line items for the "additional pool pumps" for the water features and optional extra jets. That's fair enough, many people have extra pumps for those features. However, it looks like they are quoting you prices to add variable speed pumps, which are much pricier. It seems like most people use single speed or two speed pumps for the features that you likely won't use NEAR as much as your main pool pump. You might even be able to get away with one "2 speed" pump to handle all the accessories. That would save around $1,500 over the "2 additional" pumps they are listing, which as mentioned, are likely variable speed Ecostars.

3. Small things - like extra jets, seem to be a little overpriced. I think adding more jets is an option you should definitely consider, but $100/jet is a VERY steep price! I had 2 extra jets added for $25/piece. Just standard jets, which looks like your PB is quoting.


I understand that in the grand scheme of a $120k+ project, a few bucks in jets or pool equipment is a small aspect. My point is, if they are charging a high premium for small items like this, what else are they marking up largely?? Those small extra markups turn into a LOT of money when you're talking about a project of this size.
I hope my input doesn't dissuade anything you were planning. I read this list and just imagined how awesome this work would make ANY yard. I am, by no means, an expert like some people on this forum. However, I figured I would throw what I do know into the equation - and that is you're paying significantly more for the equipment listed in this bid. It doesn't stop at the items I went over, the automation, salt water system, etc, are all priced higher than what you can purchase them for yourself. In a project of this magnitude, I personally would be asking the PB to at least give me a good deal on the hard parts, and make their percentage from the labor and overseeing of sub contractors.

Best of luck, and if you do start this, I hope you post many pictures!

To OP- It is a huge project- but excited for you! I checked out the gate link and those are beautiful. I'm inspired.

Thanks for the advice guys! So it seems I'm getting screwed on a lot of things. I was about to sign the contract but now I think I'll get some more bids. I really liked this company and willing to pay a bit more for quality work but don't want to get screwed over. Anybody happen to know a good pool builder in Orange County, CA?

That sounds like a good plan.

If this is truly the PB you feel most comfortable with, I wouldn't be afraid to have a consultation and present them with your OWN research on the line items they quoted. Meaning - maybe have a sit down to go over specific prices you found on your own accord to reference against the prices they are quoting you.

It's sad to say, but remember that many contractors will throw a price out and hope that the customer agrees without negotiation. If you show them you are wise to the going rates of the items they are listing, they are likely to negotiate!
 
Pool builders are a little slow and most are not even commanding the higher prices they were a few years ago. Get at least 2 other bids and/or talk to them if you really feel strongly about using them.
Ultimately go with your instinct, not the "best" or the "cheapest" either but someone you are comfortable seeing for a few months. The last thing you want to do is deal with people you can't stand knowing they are overcharging you. Ever see the money pit? Lol
